It is possible to manually export Gmail to a PST file, but it is a little technical. To do this, you first need to turn on IMAP in Gmail and then set up Gmail in Outlook. After this, the PST file is created by exporting from Outlook. This process is time-consuming, and errors can also occur if you have a large mailbox.

Using the GainTools Gmail Backup Tool is a better and easier way to do it. This tool exports Gmail accounts directly to PST format, without the need for Outlook or any manual setup. In this, you can select folders according to your need, apply date-range filters, and back up the entire mailbox, including attachments. This tool is fast, secure and user-friendly. This Gmail Backup Tool supports all versions of Windows (11, 10, 8.1, 8, 7, Vista, XP) and its free trial version is also available so that you can test its functionality first.

I had done the same thing some time back—I had to extract attachments from MSG files exported from Outlook, but the computer I was working on did not have Outlook installed. I looked at a lot of tools but most of them were Outlook dependent. Then I found Softaken MSG Attachment Extractor and that got my job done without any problem. The special thing about this tool is that it can open MSG files and extract attachments even without Outlook. I am giving its step-by-step process below:

How to extract attachments from MSG files

Step 1: First, download and install the tool.

Step 2: Open the tool and click on the “Browser” button. Add the MSG file. You can choose between folder and within folder.

Step 3: Then you choose the file that you want to extract.

Step 4: If you want, you can also apply filters—like if you want to extract only PNG or DOC files.

Step 5: Select the location where you want the result to go by clicking the "Browser" button.

Step 6: Do it now by pressing the "Process Now" button.

In a few minutes all the attachments will be extracted and saved in your selected folder.

I used the free trial of this tool first, which is good for testing before the full version. If you have hundreds of MSG files and don’t have Outlook, then this tool works perfectly.

Whether you use Outlook or Gmail, there are trustworthy methods to automatically remove and preserve attachments from your inbox, particularly if you receive hundreds of emails every day.

Outlook users would find one of the best approaches to be using a desktop program or an automation script. Should you be using the Outlook desktop client, you can create a macro to automatically download attachments from fresh emails and save them to a folder on your machine. But if you have thousands of attachments or ancient PST/OST files, this is not always a smart idea, and it requires some technical knowledge to set up.

For Gmail, native Gmail does not offer a direct feature to bulk-download attachments, but you can connect your Gmail account to a third-party application via IMAP and extract attachments that way. Google Apps Script is also an option, but again, it has limits on execution time and daily quota, which isn’t ideal for high-volume use. If you’re looking for a simple, easy-to-use, and efficient solution, I would recommend trying Softaken Email Attachment Extractor. It’s designed for exactly this kind of scenario.

This tool allows you to load Outlook PST, OST, MSG, EML, and MBOX files—and automatically extract all attachments in bulk without having to manually open each email. It works great for both archived and live emails. You don’t even need Outlook installed to use it. It organizes attachments neatly into folders and can remove duplicates during extraction. This tool has a free trial version available, so you can test it with a small number of emails and see how it performs with your workload.

Do you have issues such as Outlook PST data not unlocking? This is your problem's full solution. I suggest using the Softaken PST Password Removal Program to quickly remove PST file passwords. With this program, you can edit old passwords and create new ones. Any PST file that is ANSI or UNICODE can have its passwords removed using this software. The program is quite basic to use, and you can test out its key features by installing the free edition.
