      The beta version of Automatic Late Fees allows for three types of late fees as by $ amount, %, or both. There is also a one time, daily, or monthly frequency options applied to invoices. There is also a grace period setting to offset delay applying the late fees.

      The system only applies late fees on the late paid invoices and only on new invoices created after turning on the Auto Late Fee feature. There is no bulk late fee editor for historical late paid invoices.

      The system does not create separate late fee invoices and so does not apply late fees on account. There is a per Customer late fee waiver so you can suspend late fees on a Customer who is in a payment plan. But when such a Customer pays off a balance then you have to remember to disable the late fee waiver. You can also specify unique late fee terms per customer to override the system default late fee policy.

      There is no ability in the beta to force late fees to be like a delayed charge that applies on the Next Unissued Invoice. That would be better for integrity of not having multiple versions of invoices issued. There also is not a feature to have different late fee terms based on revenue centers, say, products verses services or concessions versus admittance. Some non-profits also may be required to apply flat late fees on operating funds but % interest on special capital funds.

      Update: There was a glitch with the Late Fee beta test and beta testing is postponed until the issue is fixed. I hope to be able to report the different modes of late fee processing I may discover. How different industries use late fees varies.

      This is in beta since April 26th to a select group people to test it. Unfortunately I cannot say what is in it since I was hospitalized at the time of the invite.

      Because it is not a simple thing.

      You cannot compare QB Desktop with QBO. QB Desktop does list customization and management where you have to leverage the list management to get more of what you want it to do. QBO starts off with some automation presumptions that forks the list management into separate functions. The functions are: Activity, Charges, Billable Expenses, & Time. These functions determine how an invoice is constructed. So we all want late fees; but just how should they be levied? As Charges? or as Activity? If Activity, then they become their own invoice. Then the customer either has to get the invoice processed separately, or be included in a statement processing run. Either way, it can be more work to give a customer due notice of late fees and charges. If the fees are added as Delayed Charges, then those charges await processing of the next invoice, which depends on whether the user has their invoices setup to automatically include charges or if the company settings have the charge automation turned on. If not, the user has to remember to manually link the charges on an upcoming invoice.

      Then there is the late payment policy of your organization. Are multiple late fees assigned for the same charge that misses payments month to month? or is interest charged subsequently thereafter? By law, some industries cannot levy a late fee multiple times on the same charge but can charge interest.

      Then what about scheduled electronic payments when customers participate in Bank Authorization Transfers? Are customers going to be immune from late fees when they have scheduled payments and the processing is delayed by no fault of their own? Just applying late fees to all Overdue Invoices is not an adequate solution as the algorithm for administering late fees is elaborate out of necessity.

      Then there are "price level" tiers of late fees and interest rates. Sometimes a policy of late fees is a graduated scale where the late fee amount escalates up for multiple occurrences of the same in a given time period. Sometimes interest rates also very depending on the nature of the activity that pertains to different revenue center policies.

      Just having a "simple" late fee / finance charge automation can quickly devolve into a blunt, shotgun instrument that demonstrates poor discrimination of just when such fees should apply. Such a tool can quickly exacerbate a host of customer relation problems if not built and wielded properly. Ultimately, whatever QBO gets around to building is going to have a design to it; and if you use it counter to the design, it can render some unintended consequences like any automation can.

      No, I do not work for QBO. I am a business technologist, and have been wary of how technology can help and cause trouble in the same sandbox. In order for such a tool to implement well, it would have to have a solid filter trapping method to target the correct invoices for charging late fees and interest. Such filter trapping is synonymous with any kind of bulk data grid editor (think batch transaction editor) that pulls data into a targeted record set. Then and only then can you run a targeted function operation on the data. Without a good filter trap, automation can become an avalanche of a whole bucket of tuwuble (in the tweety bird voice.)

        Too Anonymous: the Sign In option on QB e-invoices page creates an Intuit ID or allows customers to use any existing Intuit ID, which may include the former Intuit Payment Network login that remembered payment card information. If customers choose to sign in while paying their invoice then it will remember their payment card. Granted that the sign in could be made more obvious but the capability is there.

        Delayed Charge is a workaround for daily invoices needing to be consolidated into one monthly invoice. Delayed Charges can be tracked with the money bar and exported into Excel.

        This feature was broken when QBO switched from IPN to QB Payments. A key component of IPN was the user portal that remembered payment methods. An undocumented update feature late last year restored the ability to remember payment methods. This makes it now possible to use an email address of a customer as an identity for a user portal. So possibly we will see more development of virtual statements online that coordinated with the emailing of statements in some form or another.

          QuickBooks Labs is in the QBO settings upon clicking the major Gear in the upper right corner and going down the left most Settings menu. Turn On the Track Your Projects lab and you will have a beta version of Project Tracking with Job Costing premade reports. IDK about Payroll integration yet; which has been the missing link.

          What I don't understand is that on July 23rd, QBO pushed out a Job Tracking lab to the US market and there is no mention of it here as users continue asking a month later.

          For clarity, Job Costing is not the same as Project Tracking. Why? Because a project can span multiple customers. We have "customers" who are clusters of six per building, with sixteen buildings. The criteria for project management for us is to be able to assign a project to multiple customers.

          Job Costing also needs a Bill of Material relationship that QB Desktop Item Groups supported so that project A requires a,b,c items while Project B requires w,x,y,z items with the associated costs all subtotaling for simplicity on an Estimate, Charge, or Invoice.

          Add a third Time Sheet entry form that is Customer oriented as a Job Time Sheet to enter in time worked by a crew on for a particular customer for a particular day. Upon submission, permit switching days and assume the same service entries for speed.
