Need built-in age calculation for HR and benefits eligibility tracking
Hey QBO team and fellow users,
This might sound like a niche request, but hear me out. I manage payroll and benefits for a growing company. I regularly have to calculate employee ages for different HR functions - 401k eligibility, health insurance age brackets, COBRA continuation periods, and now with all the new state leave laws that have age requirements.
Right now, I have a separate spreadsheet with birthdates and update ages manually, or jump over to tools like this age calculator (https://zeecalculator.com/age-calculator) whenever I need precise age calculations for benefits administration. It's such a workflow killer.
What I'd love to see in QBO Payroll:
- Automatic age calculation based on employee's birthdate in their profile
- Age-based benefit eligibility alerts (like "Employee John Smith turns 21 next month")
- Reporting filters by age ranges for compliance purposes
This would be huge for small business owners who wear the HR hat but don't have dedicated HR software. We're already storing birthdate info in employee profiles - why not make it actually useful for benefits management?
Anyone else dealing with this? Would love to hear how other small business owners are handling age-based benefits tracking in QBO.

That’s a really good point, I’ve run into the same issue. Age-based eligibility comes up all the time (401k, health plan brackets, even retirement contributions), and it feels like double work when the employee’s birthdate is already stored in QBO.
A built-in age calculator tied to the employee profile would save so much manual effort. Even something basic like:
Auto-calculated age visible in the profile
Notifications for upcoming age milestones (21, 26, 65, etc.)
Ability to filter reports by age
Right now I’m also relying on external calculators or spreadsheets, which isn’t ideal for accuracy or efficiency. Having this built directly into QBO Payroll would definitely help small businesses stay compliant without needing extra HR software.
