Make the user rights more flexible and customizable
more flexibility for users would help my company. I am a small business owner and need to concentrate on administrative; book keeping matters. I would love to have our staff have access to our vendor information without having access to the register or have the ability to write checks. This would enable me to hand off vendor invoices for entry and free my time considerably. Unfortunately your on-line version is quite limited. We used your contractor edition software years ago and found those user features worked quite well.
Any help with this matter would be greatly appreciated. As our company grows, I can say that without greater user flexibility, unfortunately we will have to make a move to another program that is slightly more diversified.
Need ability for our "new Hire specialist" to add new employees ONLY. Can't edit or see banking, expenses, sales, reports etc.
Need ability to have managers access their own credit cards in banking to approve their purchases and post them to correct account. BUT don't want them to see other bank accounts.
We have just installed a new sales system for our company which interfaces with QBO. I am shocked to find that I cannot restrict access through the user rights so they cannot see certain things (taxes/forms due, etc). I need more options to allow/restrict certain areas of the program for different responsibility levels for my users. I'm seriously considering moving to a new accounting software if this cannot be accomplished soon. Thanks
My suggestion is to have a read-only account for oversight without potentially risking changes (especially without the ability to make backups of our books.)
As a nonprofit/charity/church administrator,
I want to provide my board treasurer with the ability to verify our finances WITHOUT providing them the ability to change anything
so that I can comply with oversight policies but not put at risk the security and integrity of our finances.
We need our church count team to be able to print the Deposit Ticket and Deposit Summary and/or have access to a report they can run that will list all of the payments received and sales receipts, sort/subtotal by payment method, and then give a grand total.
I have sales representatives that need the luxury of creating, sending and converting estimates and invoices. However, they do not need access to our A/R reports, or be able to add/edit/delete products or services we sell. They only need access to view estimates and invoices and create them. Any other information should not be available, if we do not approve it. We, the company's using this QBO service, should be able to decide and determine how much access our users have. After all that is how you advertise your product. So it should be up to the individual company to preset the specific access each user has, whether it be the entire (Customer & Sales) section, or only a specific line item. Please fix this as this is a very important matter to our company and if not fixed will ultimately result in us terminating our contract.
I do the final accounting myself, but use a book keeper to do the leg work. There are some payments (e.g. owner's salary) that I don't want my book keeper to know. There should be some level of user restrictions that lets me remove the possibility of seeing and editing expenses once entered by a book keeper.

Broader permission options are particularly important within your new WORK feature. We need everyone to be able to assign projects/tasks to others (not just themselves as basic users). Currently, only those with full or admin permission are able to assign to all users.
The new WORK functionality with broader assignment capabilities would be a game-changer for QBOA and keep people from looking outside for these basic task management capabilities.
This should be a simple product change with a huge impact.
I like our sales team access QB and generate estimate/ quotation directly. But I don't want them to be able to download any of the reports. Right now, even with the 'Customer/ Sales' access, they can simply download a nice list of all customers with their revenue/ expense history. No good. Let Master Admin choose which reports OR No report at all.
You could have an additional 20 users in your system if you have this feature, and FAST. Cheers.

Specifically, there should be an option to allow a user to only Receive Payments (for Quickbooks Online Payments. When a customer calls in a credit card payment for an invoice I don't want my front desk to have FULL access to all financials just to take a payment. Ideally a mobile app for this, too.
I bought Tally ERP 2 years back because QB was lacking this feature,2 years down the line still no progress.

We wish that this could be done before Christmas 2017 THIS IS SHOCKING. Many people on here are leaving QBO I can see why. Get a wiggle on please. People should start harassing them. This is a Joke I can't run my business while let all of my employees see all my valuable information. at The moment they keep running to me every 2 minutes (NOT JOKING HERE) Just so I can set up new accounts for them. I Can honestly say Quick Books Online is Shocking at getting this done. SHAME ON YOU YOU HAVE JUST LOST ANOTHER VALUABLE CUSTOMER IF I COULD GIVE YOU A -5 STARS FOR HOW LIKELY I AM TO RECOMMEND QBO TO A FRIEND OR COLLEAGUE I WOULD. I CAN ALMOST GARENTEE THIS WON'T BE DONE BEFORE THIS CHRISTMAS OR NEXT CHRISTMAS FOR THAT MATTER.

I'm back again, seeing if there is any progress with this. I left QBO 4 years ago because of this issue. I can see they still have not replied or done anything.
Of course, it being changed to "Under Review" in Mar. 2017 could be encouraging, but that means that it take 5 years(!) for them to under review it. So actual action is probably another several years away, if at all.
It is really strange, as:
- This is such an obvious design flaw for a product that is supposed to allow people to work together
- Thousands have been officially complaining about this over 5 years
- Intuit support and sales people have told many of us many times, that they would make sure this got escalated and addressed.
Oh well. I'll see you in a year, when I check back again. :(
I would like more flexibility in customizing access to checkbooks. We have an assistant that helps with deposits and our general checking account; however, they should not have access to our employee information and payroll account checkbook.

I want my company administrator should not have access to Subscription information. Because I am running multiple client as Master Admin. If I started to create Company Admin, then the company will able to see my cost.

I guess that means that we shouldn't expect to see this happen in our lifetime. Sad
We would like to be able to provide one of our employees with the access to be able to reconcile credit card statement but not bank statements and not to see our P&L and BS statements.
At the moment QBO as many have pointed out is not at all flexible with user permissions.

There are some sensitive transactions which we do not want other employees to see. By putting them under the same user rights for common transactions like expense is not flexible at all. Being a small business owner, there are some transactions which I like to keep them confidential and others which I can let my employees to assess to do their jobs. If we can't have flexible assess rights for sensitive transaction, does that mean the boss would have to do all accounting transactions? We are suppose to improve productivity for our business process here but then with this issue is restricting us to move forward. I am currently using moneyworts which works beautifully. I am only considering QB online because its cloud base and can link to some payroll services I am currently looking at. I bought QB online Plus to test it out only to find this restriction on assess control which is holding me back to migrate to it at all now.
