Create a way to email clients & vendors from within QBOE - especially to follow up on overdue invoices and bounced credit cards

Current system makes it difficult to implement and track collections efforts. If I email somebody about their bounced card, that info only exists in my personal email. I can add a note to the ever growing notes field, but that's an extra step. Would be nice to have a scheme to email clients directly out of QB (using templates if possible) and see that listed by date with other client info - invoices, payments etc. Would be even better if the scheme allowed adding a dated note to the same pile of information

        Yes, yes, yes! We have ended up creating invoices and applying the payment manually because there was always 1 or 2 per month that declined. This way we now know that the client has an overdue invoice and for us to follow-up.

        We'd go 30 days without knowing and the client would get a Receipt emailed. We had to stop emailing the receipts.

        If a client has a declined cc payment, it shouldn't always be assumed that the bank will notify them of that. Mine does not always notify me. If Merchant Services emails clients when processing payments why on earth can they not notify them when they can't process them?

        When we email an invoice, can the field for editing the message body be adjustable, or at least by default to have a larger window by default? We currently have to operate to work entirely in this small window for our messages.

        Please also allow us to format our text! Bold, underline, italicize, and bulleted/numbered lists would be great start! Font & text size would be secondary in my opinion.

        This has said "started" for over a year... when can we expect this type of functionality? At a minimum we should at least be able to send emails to customers with the current logged in user email as the reply to, and not the global company email.

        Being able to keep notes of collection attempts at a customer or invoice level would be wonderful. The collection attempts are escalated thru our company and knowing some back info is helpful.

        Even just a quick way to view invoice/statement sent history. The current system only lets you see the most currently sent item.

        I agree with the whole idea suggested here about tracking/automating follow ups with clients on invoices.

        More than anything else though, I would LOVE it if there was a global setting in the system for automated follow up interval, so I could tell the system to automatically remind customers of unpaid invoices X number of days before it's due, and X days after it has become overdue and then every X days thereafter.

        I tend to be bad about following up on overdue invoices and a reminder (nag) feature that did this for me would be great.

        What we need is ..
        1. Be able to set follow up task

        2. Be able to send email and print letters from standard templates that update with client specific info

        3. Automate some steps, such as email reminders with a payment is first late

        4. Add comments to AR reports that post to client accounts so that we can drive the collection process

        5. See all transactions in the client record - past complete, present and future scheduled such as in the recurring sales receipts

        6. Tied to declined credit card payments, sales receipts, IPN payments, etc.

      Feedback and Knowledge Base
